Custom CRM Development

When Salesforce or HubSpot fights the way you actually sell, a CRM built around your process can cost less and get used more. We build them in stages, starting with the one workflow your team works around today, and we run our own company on one we built.

We run our own company on a CRM we built

We started our CRM in February 2026 because no product fitted how we sell. It has shipped more than 760 releases since, and it now runs our whole commercial side: contacts and accounts, deals and pipeline, LinkedIn and WhatsApp outreach, call recordings with transcripts, a public booking page synced to our calendars, e-signatures, time tracking and billing.

AI assistants work in it through more than a hundred permissioned actions, so a call summary or a follow-up lands on the right record without anyone typing it. Building it is how we learned where custom pays off, and where buying is the better call.

When a custom CRM beats Salesforce or HubSpot

  • Your team keeps a spreadsheet next to the CRM, because the CRM cannot hold what really drives a deal: a pricing grid, a project's technical spec, a regulatory status.
  • Your sales process has steps no product models well: quotes built from your own catalog, approvals, site visits, or an order that splits across several entities.
  • You pay for many seats while most people only need to see and update a few fields.
  • The data has to flow both ways with your ERP, your quoting tool or your production system, and the integrations keep breaking.
  • Nobody logs anything, because the CRM asks for data entry instead of capturing it from email, calls and messages.

And when to buy instead: if your process is standard B2B sales, a few people, a classic pipeline, an off-the-shelf CRM configured well is cheaper and faster. We will tell you so on the first call.

Four ways to get a CRM that fits

Custom CRM development is not one thing. The right option depends on how far your process is from what the products assume.

OptionWhat it meansWhen it fits
ConfigureSet up Salesforce, HubSpot or Pipedrive properly: fields, stages, automations, reports.Your process is standard and the problem is set-up, not fit.
ExtendKeep the CRM and add what it lacks: custom objects, an integration with your ERP, an AI assistant that fills it from calls and email. The CRM works for most of the team, with one or two gaps that cost real time.
Build alongsideA custom tool for the part the CRM cannot do, such as quoting or delivery, synced with the CRM you keep. One workflow is specific to you, and the rest is ordinary sales.
Build customA CRM designed around your process and your data, owned by you, replacing the product and its seats. The process is the business, the products force workarounds everywhere, and seat costs keep growing.

We start every project by checking whether option one or two would do. Building a whole CRM when an integration would solve the problem is the most common way companies overspend.

How we build a custom CRM

In stages, each one used in production before the next begins, so your team never waits months for software they have not seen.

  1. 1

    Map the real process

We sit with the people who sell and deliver, and start from the spreadsheets they already use. The exceptions, the special customers and the steps done by habit come out here, before anything is built.

  2. 2

    Build the first useful slice

One workflow, usually the one people work around most, live with real data and your team's existing sign-in. Your data is imported from the spreadsheet or the current CRM.

  3. 3

Widen it, one workflow at a time

Pipeline, quotes, follow-ups, integrations with email, calendar, phone or your ERP, each added and used before the next. Every step has a fixed scope and price agreed in writing.

  4. 4

    Run it

We host, monitor and maintain it, with security updates every week, or hand it to your team with the code, the infrastructure and the documentation in your name.

How much does custom CRM development cost?

These are the ranges we work to, in US dollars. A custom CRM has no per-seat licence, but it does have running costs, and we list them too.

ScopeBudgetWhat you get
First useful slice$5,000 to 18,000One workflow replaced and running in production, such as a pipeline with your own deal data, or quotes built from your catalog.
Complete CRM$18,000 to 45,000Several workflows, data migrated from your spreadsheets or current CRM, and integrations with email, calendar or your ERP.
Infrastructure$50 to 100 / monthHosting, database and backups, on our platform or in a cloud account you own. More for heavy call recording or AI workloads.
Maintenancefrom $470 / monthWeekly security updates, monitoring, and small changes as your process evolves.

Compare with seats: at $100 to 300 per user per month for a fully featured plan, a team of 20 pays $24,000 to 72,000 a year in licences before any customization. A custom CRM rarely wins for five users; it often does for twenty.

What to ask any custom CRM developer

  • Do you use a CRM you built yourselves? A team that lives in its own software knows what makes people stop logging.
  • Who owns the code, the data and the infrastructure, and is that in the contract?
  • Will you start from our spreadsheets and our real data, or from a demo?
  • What are the running costs per month, for hosting and for maintenance, for the next three years?
  • Would you talk us out of building, if configuring our current CRM would do?

Frequently asked questions

What is custom CRM development?

Custom CRM development is building customer relationship software around a company's own sales and delivery process, instead of adapting the process to a product like Salesforce or HubSpot. It can mean a complete CRM, or a custom part that works alongside the CRM you keep.

How much does a custom CRM cost?

At Reflekt Lab, a first useful slice runs from $5,000 to $18,000 and a complete CRM from $18,000 to $45,000, then about $50 to $100 a month for infrastructure and from about $470 a month for maintenance. There are no per-seat licences.

Is it better to build a custom CRM or use Salesforce or HubSpot?

Use an off-the-shelf CRM when your sales process is standard and the team is small. Build, fully or in part, when the process is specific, the team keeps a spreadsheet beside the CRM, integrations with your other systems keep breaking, or seat costs keep growing.

How long does it take to build a custom CRM?

The first useful slice is usually in production within a few weeks. A complete CRM is delivered in stages over a few months, and your team uses each stage before the next one starts.

Can you migrate our data from our current CRM or spreadsheets?

Yes. We import contacts, accounts, deals and history from spreadsheets or from an export of your current CRM, clean duplicates on the way in, and check the result with the people who know the data.

Can AI assistants work with a custom CRM?

Yes, and it is easier than with a closed product. We expose the CRM to assistants like Claude or ChatGPT through a small set of permissioned actions, with a confirmation step before anything that touches revenue. That is how our own CRM fills itself from calls and messages.
