How we work: one workflow first, priced before it starts

Five steps, from a free call to software we keep running for you. You see one workflow working in your own tools before you commit to the next, and you can stop after any step.

What happens
You tell us which process costs you the most time or the most mistakes, and how it runs today: who does it, in which tools, how often. We ask the questions that tell us whether software, AI, or neither is the right fix.
Who we need from you
Whoever knows the process best. A founder or manager is enough at this stage.
What you leave with
An honest answer on whether we are the right team, and if we are, which workflow to start with and a price range for it.
What decides the next step
If the fit is there, we propose a scoping workshop with a fixed fee. If it is not, we say so, and often point you to a tool you can simply buy.
1 · Half a day

Scoping workshop

€2,000 to €4,000, credited against the first slice

What happens
We work with the people who actually do the process, not the version in the manual. We map how the work really flows, where data is retyped, which exceptions eat the time, and what a wrong answer costs. We pick one workflow to build first and agree how its success will be measured, in numbers.
Who we need from you
Two or three people who do the work every day, and the person who can say yes to the budget, for half a day. Send us real examples beforehand: the spreadsheet, a week of emails or orders, the export from your current system.
What you leave with
A written scope of a few pages: the workflow, the business rules, the edge cases, what is out of scope, and the success criterion. With it, a fixed price and a date for the first slice. The document is yours, whoever you build with.
What decides the next step
You decide whether to go ahead. If you do, the workshop fee comes off the price of the first slice.
2 · 2 to 4 weeks

First slice, live

€5,000 to €15,000, fixed

What happens
We build the workflow end to end, on your real data, inside the tools your team already uses: your ERP, CRM, email, WhatsApp or a web app of its own. Where AI is involved, it drafts and a person on your team confirms before anything is written. You see progress as it is built, not at the end.
Who we need from you
One person on your side who can answer questions within a day, and the people who will use it for a first real run.
What you leave with
One real process running in production, used by your team, measured against the criterion agreed in the workshop. The code is yours from the first day.
What decides the next step
The measurement. If it meets the criterion, we propose the next workflow. If it does not, you stop there: you have paid for one workflow, not a programme.
3 · Milestone by milestone

Extend

A fixed price per milestone, agreed before it starts

What happens
We add the next workflow, reusing the building blocks that already work: the same data model, the same sign-in, the same review screens. Real usage of the first slice decides what comes next, and the priorities stay yours.
Who we need from you
The same contact person, and the users of each new workflow for its first runs.
What you leave with
One more process live per milestone, each one priced, delivered and measured on its own.
What decides the next step
You can stop after any milestone, keep what is built, and pick up later with us or with another team.
4 · Ongoing

Run and improve

From €400 per month

What happens
We host the software, watch it, apply security updates, fix what breaks and make the small changes your process needs as it moves. Where AI models are involved, we re-test the workflow when a model changes or is retired.
Who we need from you
Nobody, day to day. You tell us when something should change.
What you leave with
Software that keeps working. From €400 a month for half a day, €1,600 for two days, and €800 per extra day. On our infrastructure or in a cloud account you own.
What decides the next step
Nothing ties you to us. You own the code and can take it to another team or in-house at any time, and we hand over what they need.

An example: a shipping workbook, in production the next day

A California company that installs and services industrial equipment ran its shipping on one shared Excel workbook. We treated the workbook as the specification: its structure told us what a shipping request is, and its quirks told us what the import had to survive. Staging was up the day after we received the file, and production with the team's Microsoft sign-in followed that same evening. Since then, the team's change requests have usually shipped the evening they were asked for.

Frequently asked questions

What if the first slice does not work for us?

You have paid for one workflow, not a programme. If it does not meet the criterion we agreed in the workshop, you stop there, nothing further is committed, and the code we delivered is yours.

Why a paid scoping workshop instead of a free quote?

Because a fixed price is only honest when the scope is precise, and a precise scope takes real work with your team. The fee is credited against the first slice if you go ahead, and the written scope is yours either way, even if you build with someone else.

Do we have to change our tools?

No. We build inside what your team already uses: your ERP, your CRM, email, WhatsApp, spreadsheets. When a process needs a screen of its own, it signs in with the accounts your team already has.

Who owns what you build?

You do. The source code is delivered to you and you can take it to another team at any time. We write that into the contract.

Does the AI act on its own?

Only where you decide. Each workflow is designed with a person approving the steps that matter, such as a quote going to a customer or an order going into your ERP. The approval gets lighter only as measured accuracy allows.

How fast can we start?

The intro call can usually happen within the week. The workshop follows once the right people are available, and the first slice starts as soon as the scope and price are agreed.
